What personal data we collect and why we collect it
The following personal data is collected and maintained indefinitely in the PRS database for registered users and their minor children who are registered as students to comply with Colorado law and for customer service purposes:
Registered Users:
- date of enrollment
- name
- email address
- home address
- phone number
- any other information contained in the user profile
- other data collected that could directly or indirectly identify you
- transactional data such as purchase information
- your most recent login date, time, and IP address
Registered Students:
- name
- gender
- date of birth
- date of enrollment, withdrawal, graduation
- school receiving records transfer
- school grade level
- transferred school records
- reported attendance and grades
- calculated GPA
All searches performed using the internal site search are logged in the database, including the following information: the search query, the number of hits found, user ID for users who are logged in and date and time. The search logs are stored indefinitely.
Comments and Member Forum Posts
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Email and Contact Form
Electronic communication sent directly to PRS or through a contact form is collected and maintained indefinitely for customer service purposes and is not used for marketing purposes.
Electronic communication sent to users by PRS and user engagement with this communication, including but not limited to the tracking of opened emails and clicked links, is maintained indefinitely for customer service purposes.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Parent and student personal information and school records shall only be transferred to another school or agency after receipt of an authorization signed by the student’s parent or guardian or by the student if emancipated or over the age of 18 years.
No personal information is shared with any department of the state of Colorado unless requested in accordance with state law. The school district has the right to request the attendance records of students as often as once per month. Additional personal information for users and students may be shared only if required by law.
Personal and educational records may be shared if requested by subpoena as required by law.
PRS provides personal information required for the third party seller to deliver your PRS Group Buy purchase to you.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For registered users, we store the personal information they provide in their user profile indefinitely. All users can see or edit personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
